FIELD & ORCHARD WELLNESS 

TERMS & CONDITIONS

1. Event Description

Field & Orchard Wellness hosts half-day retreats and wellness experiences including activities such as yoga, breathwork, guided walks, meditation, and seasonal workshops.
Each event may vary depending on venue, instructor availability, and the chosen programme.

 

2. Booking & Payment

  • Payment is due at the time of booking unless a specific arrangement has been agreed in writing.
     

  • On some occasions, we may hold a space for a guest and allow payment at a later date.
     

  • A booking is confirmed once payment has been received.
     

 

3. Cancellation & Refund Policy

Guest Cancellations

  • Refunds are available if the guest notifies Field & Orchard Wellness at least 14 days before the event date.
     

  • Refund requests must be made in writing to info@fowellness.co.uk.
     

  • Cancellations made within 5 days of the event are non-refundable.
     

If Field & Orchard Wellness Cancels

  • If we must cancel an event for any reason, guests will receive a full refund or the option to transfer to another suitable date.
     

Last-Minute Dropouts

  • Cancellations within 5 days of the event cannot be refunded due to fixed venue and catering costs.
     

Transfers

  • Transfers to future events cannot be guaranteed but will be considered subject to availability.
     

 

4. Event Changes

  • If the venue becomes unavailable, the event will be cancelled and guests refunded in full.
     

  • Outdoor activities (such as walks) may be altered or replaced in the event of poor weather, with no refund available for these changes.
     

  • If an instructor becomes unavailable, we will do our best to replace them. If this is not possible, the event may be cancelled and refunded.
     

 

5. Health & Safety

  • Guests are responsible for informing instructors of any injuries, medical conditions, or accessibility needs before the event begins.
     

  • Guests must wear suitable clothing and footwear for the activities and weather.
     

  • All instructors hired by Field & Orchard Wellness are qualified and insured.
     

  • Guests participate at their own risk and agree to follow instructor and organiser guidance at all times.
     

 

6. Liability

  • Field & Orchard Wellness holds Public Liability Insurance appropriate for the activities offered.
     

  • We are not liable for injuries resulting from failure to follow instructor guidance or misuse of equipment.
     

  • Personal belongings are the responsibility of each guest.
     

 

7. Photography & Content

  • Photos and videos may be taken during events for social media and marketing purposes.
     

  • Guests may opt out at any time by informing the organiser on arrival.
     

 

8. Dietary Requirements & Allergens

  • Guests must provide accurate dietary information at the time of booking.
     

  • We will pass this information to our caterers.
     

  • While all reasonable steps are taken, we cannot guarantee that food will be completely free from allergens.
     

 

9. Data Protection

  • We store guest information (name, email, phone number, and dietary requirements) solely for event communication and administrative purposes.
     

  • Payment details are handled securely through Wix Events and are not stored by Field & Orchard Wellness.
     

  • Guests may request deletion of their data at any time by emailing info@fowellness.co.uk.
     

  • Data is not shared with third parties except instructors or caterers where necessary.
